Life West has relaunched the way we manage the Work Study hiring process at Life West. While the overall approval structure hasn’t changed, the way in which we submit Requests to Open, post open positions for our students, and go through the Request to Hire process has been digitized.
Step-by-step:
1. Submit a Request to Open
Ultimately, you’ll submit the Request to Open form here. Before you do that, you need to update an existing Job Description or create a new one using this template.
Important: The correct Paycom Code must be included in the Job Description (mandatory). Please reference the Work Study Supervisor List Master for information relating to the Department, Current Supervisor, Paycom Codes, Area of Operation and Current Positions.
Once completed, submit the Request to Open form.
2. Requests reviewed for approval
All new and revised job descriptions will be reviewed for accuracy and approved by the Associate Vice President. Denied positions will be provided be provided feedback for clarification. Approved positions will move forward.
3. Approved Positions Posted to Student Dashboard
Once approved, positions will be posted to the Open Work Study page, accessible through the Student Dashboard. A reminder and link to this page will often be placed in The VOICE. As of now, Student Life will continue to post printed versions of the position on the job boards on both campuses.
4. Students apply for the position online
A link to the Work Study Student Application will be available on all of our job postings. Students apply for the position by completing this online application.
Each submission of the application will automatically be forwarded to the supervisor who submitted the Request to Open as a ClickUp task.
5. Supervisor Schedules Interviews with Applicants
The Supervisor is required to schedule interviews with approved student applicants (identified by the aforementioned ClickUp task). Supervisors will know when to schedule interviews with students based on the assigned task, “Complete Student Interview“.
6. Supervisors Approve or Deny the Hire
Within the assigned ClickUp task, supervisors must choose to Approve or Deny the applicant. If interviewing multiple candidates, leave this status unmarked until a go-forward applicant has been chosen. Once a choice is made, approve that applicant and deny the others.
7. Approved Applicants Onboarded by HR
Approved applicants are forwarded to HR for onboarding. This includes all necessary paperwork, compliance training and otherwise. The hiring supervisor will be notified via ClickUp message and/or email once the student has completed the onboarding process.
Important: Students are NOT to start work until the onboarding process is complete as confirmed by our HR department.
